Privacy Policy
Last updated: 4 September 2026
1. Who we are
E3 Applied GmbH (in formation) is the controller for personal data collected through this website. We are an independent energy advisory consultancy based in the Berlin area, Germany. Full company identification will appear in our separate Impressum once our registration is complete.
For any questions about this policy or your data, contact us at:
info@e3applied.eu
2. What data we collect
When you submit our contact form, we collect the personal data you enter into it:
your first and last name
your work email address
your organisation (optional)
the content of your message
We also collect limited technical data automatically when you visit the site. Our hosting provider, Framer, records standard server log data for security and operational purposes, including your IP address, browser and device type, the pages you request, and the date and time of each request. We do not currently use any analytics, advertising, or tracking services.
3. How we use your data
We use the personal data you submit through the contact form only to:
respond to your enquiry
assess and scope a possible advisory engagement
carry out follow-up communication relating to your enquiry
We use server log data only to run the website securely and reliably and to detect and prevent abuse. If an advisory engagement begins, we also process your contact data to carry out that engagement and to meet our legal retention obligations under German commercial and tax law. We will never use your data for marketing purposes, sell it to third parties, or share it beyond what is described in this policy.
4. Legal basis for processing
We rely on different legal bases depending on the data. For the contact form, we rely on your consent (Article 6(1)(a) GDPR), which you give by ticking the consent checkbox before submitting the form. You can withdraw your consent at any time, with effect for the future, by emailing info@e3applied.eu; this does not affect processing carried out beforehand. For server log data, we rely on our legitimate interest in the security and stability of the website (Article 6(1)(f) GDPR). Where an advisory engagement begins, we rely on the performance of a contract or steps taken prior to entering into one (Article 6(1)(b) GDPR) and on compliance with our legal obligations (Article 6(1)(c) GDPR).
5. Cookies
We use only strictly necessary cookies and similar technologies required for the website to function and to be delivered securely. We do not use advertising, analytics, or tracking cookies, so no cookie consent banner is shown. If we introduce analytics or other non-essential cookies in future, we will update this policy and, where required, ask for your consent first.
6. Third-party services and processors
The providers below process personal data for us as processors under Article 28 GDPR, or act as independent providers for limited technical purposes.
Framer - website platform, hosting and form handling
This website is built and hosted on Framer, provided by Framer B.V., Amsterdam, Netherlands. Framer hosts the site, serves its content through a content delivery network, and stores the submissions sent through our contact form so that we can read and respond to them. Framer processes this data on our behalf under Framer’s Data Processing Addendum, which forms part of its terms; where it transfers data outside the EU/EEA it relies on the European Commission’s Standard Contractual Clauses. Framer’s privacy policy is available at framer.com/legal/privacy.
DomainFactory - domain and email
Our domain registration, DNS, and email services are provided by DomainFactory, a hosting provider based in Germany and part of the GoDaddy group. When you send us an email, your message is stored on DomainFactory’s servers within the EU. DomainFactory’s privacy policy is available at df.eu/de/datenschutz.
Microsoft - email client
We access and manage our email using Microsoft Outlook. Correspondence you send us may therefore also be processed on Microsoft’s servers. Where Microsoft transfers data outside the EU/EEA, it relies on the EU-US Data Privacy Framework and Standard Contractual Clauses. Microsoft’s privacy statement is available at privacy.microsoft.com.
7. Use of AI tools
We use AI-assisted software to help draft, analyse, and summarise documents and meetings. All outputs are reviewed by a person before they are used. We do not enter personal data or client-confidential information into AI tools unless the provider is bound by a data processing agreement and does not use the data to train its models. These tools are provided by third-party vendors and are not used to make automated decisions about you.
8. Data retention
We delete contact form submissions stored in Framer within 6 months of our last contact with you, unless an advisory engagement begins. Enquiry emails that do not lead to an engagement are deleted within 6 months of our last contact with you. Where an engagement begins, related contact data and business correspondence are kept for as long as German commercial and tax law require, generally between 6 and 10 years (Sections 257 HGB, 147 AO). Server logs are retained by our hosting provider for a limited period for security purposes and then deleted or anonymised. Our providers may keep data in encrypted backups for a limited period after it is deleted from the live systems.
9. Your rights
Under the General Data Protection Regulation (GDPR), you have the right to:
Access
Rectification
Erasure
Restriction
Portability
Withdraw consent
Object to processing based on our legitimate interests
To exercise any of these rights, email us at info@e3applied.eu. We will respond without undue delay and in any event within one month of your request.
10. Right to lodge a complaint
If you believe your data has been processed unlawfully, you have the right to lodge a complaint with a supervisory authority. For E3Applied, the competent authority is the Berliner Beauftragte für Datenschutz und Informationsfreiheit (Berlin Commissioner for Data Protection and Freedom of Information). You may also contact the supervisory authority in your country of residence.
11. Changes to this policy
We may update this privacy policy from time to time. In particular, we will update it before we introduce website analytics, a customer-relationship or lead-management system, online scheduling, video-conferencing for client meetings, or accounting software that processes your data. Changes will be posted on this page with an updated revision date. We encourage you to review this page periodically.
